This Privacy Policy explains how Fiscus Consilio Financial Distribution Private Limited, the creator, owner, operator, designer and developer of BASE ERP, collects, uses, stores, processes, shares, protects and retains information when Users access or use BASE ERP website, portal, SaaS platform, modules, trial access, subscription services, support services, communication features and related services.
This Privacy Policy is prepared with an India-first compliance approach, including applicable Indian laws relating to digital personal data, information technology, electronic records, consumer protection and contractual obligations. By accessing or using BASE ERP, the User agrees to this Privacy Policy.
BASE ERP may collect registration information, firm and organisation information, user account information, client, supplier, employee and business records, payment and subscription information, OTP and verification logs, consent records, technical and usage information and support information.
Sensitive payment details such as card number, CVV or net banking credentials are normally handled by the payment gateway and not stored by BASE ERP unless legally or technically required.
We may use information for account registration, login, authentication, OTP verification, trial activation, subscription activation, licence management, SaaS module operation, tenant-wise separation, billing, payment confirmation, refund review, support, troubleshooting, security monitoring, fraud prevention, legal compliance, renewal reminders, product updates and product improvement.
Where required under applicable law, we process personal data based on consent, contractual necessity, legitimate business requirement, legal obligation or permitted use under law.
If a User enters personal data of clients, staff, suppliers or third parties into BASE ERP, the User is responsible for obtaining necessary consent, authority or lawful basis from such persons.
For account registration, subscription, billing, support and platform administration data, the Company may act as a data fiduciary/controller.
For client data, staff data, business records, task records, statutory data, documents and other information uploaded by the User into its tenant account, the Company generally processes such data on behalf of the User for providing the SaaS service.
BASE ERP is designed with tenant-wise separation so that one firm should not access another firm's records through normal application access.
Platform Super Admin users, authorised support users or technical administrators may access operational records where required for support, troubleshooting, security, billing, legal compliance, abuse prevention, backup, maintenance or administration.
We do not sell User data.
We may share or disclose information only where necessary with hosting, cloud, email, SMS, WhatsApp/WABA, payment gateway, analytics, support or technical service providers, professional advisers, government authorities, courts, regulators, law enforcement, banks, payment gateways or a successor entity in case of merger, restructuring, acquisition, transfer or business reorganisation, subject to applicable law.
Payment processing may be handled through third-party payment gateway such as Razorpay or any other approved provider. Payment gateway collection, processing, storage and security may be governed by the payment gateway's own terms and privacy policy.
BASE ERP may use cookies, local storage, session storage or similar technologies for login session, security, preferences, analytics, performance, error tracking and user experience. Users may disable cookies through browser settings, but some features may not work properly.
We may communicate with Users through email, phone call, WhatsApp, SMS, in-app notification, support ticket, personal visit by authorised person or other available channel for service, support, security, billing, trial, subscription, renewal and product update purposes.
Marketing communication will be sent only where consent is available or where permitted by law.
We may use reasonable technical and organisational safeguards such as authentication, OTP verification, access control, role-based permissions, tenant-wise separation, audit logs, encryption where appropriate, environment variable management, backups, monitoring and administrative controls.
No digital system is 100% secure. Users are responsible for protecting login credentials, password, OTP, email account, device, internet connection and internal user access.
We retain information for as long as necessary for providing services, maintaining records, complying with legal obligations, resolving disputes, enforcing agreements, supporting users, preventing fraud, maintaining audit logs and operating the platform.
Existing data will not be deleted merely due to trial or subscription expiry. However, access may be restricted after expiry, non-payment, suspension or termination. Users should maintain their own backups and copies of important records.
Users may contact us for correction requests, support requests, account issues or privacy concerns. Before acting on a request, we may verify identity, registered email, firm details, authorised person details or other account information.
Users are responsible for uploading only lawful and authorised data, informing clients, employees, staff, suppliers or third parties where their data is entered into BASE ERP, obtaining required consent or authority, reviewing user access, removing access of unauthorised employees or staff, maintaining data accuracy and backups, and complying with applicable privacy, labour, tax, accounting and other laws.
BASE ERP is intended for business and professional use and is not intended for children. Users must not knowingly upload children's personal data unless legally authorised and necessary for lawful business or compliance purposes.
BASE ERP is primarily intended for Indian business, accounting and compliance workflows. If a User accesses BASE ERP from outside India or enters data of persons located outside India, the User is responsible for ensuring that such use is lawful under applicable local law.
The Company may store or process data in India or in other locations depending on hosting, cloud, backup, email, payment gateway or service provider arrangements, subject to applicable law.
In case of a security incident affecting User data, the Company will take reasonable steps as required under applicable law, which may include investigation, containment, mitigation, notification and cooperation with affected Users or authorities, where legally required.
We may update this Privacy Policy from time to time. Updated policy may be published on the website/portal. Continued use of BASE ERP after update shall be treated as acceptance of the updated policy.
This Privacy Policy shall be governed primarily by the laws of India. Subject to applicable law, all disputes shall be subject to the exclusive jurisdiction of competent courts at Surat, Gujarat, India.
